Overview

The Senior Payroll Tax Specialist is a key subject matter expert responsible for managing and resolving complex payroll tax matters across federal, state, and local jurisdictions. This role is instrumental in ensuring compliance with tax regulations, handling agency communications, and guiding both internal teams and external clients through intricate tax situations. The position requires deep technical knowledge, exceptional communication skills, and a proactive approach to resolving tax issues and maintaining a strong governance structure.

Responsibilities

  • Lead and manage employer tax account registrations with state and local agencies for unemployment insurance, withholding, and other applicable taxes.
  • Track and ensure timely registration completion and documentation.
  • Research and resolve payroll tax notices in a timely manner.
  • Liaise with state and federal agencies to understand the root cause of discrepancies.
  • Partner with payroll vendors, internal teams, and clients to correct filings or payments.
  • Support and review the accurate completion of Form 941 and other federal filings.
  • Assist with recurring, quarterly and year-end reconciliation of tax filings and deposits.
  • Maintain POA documentation to facilitate agency communication.
  • Ensure POAs are accurate and current with all relevant jurisdictions.
  • Serve as the payroll tax subject matter expert for internal leadership, payroll vendors, and client points of contact.
  • Translate complex tax issues into clear action plans for non-technical stakeholders.
  • Advise clients and internal teams on corrective actions, compliance timelines, and best practices.
  • Act as the primary liaison with payroll vendors for tax-related matters.
  • Coordinate with state and local agencies to resolve registration, filing, and payment issues.
  • Assist manager with standardization and creation on Tax SOPs and automation efforts

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business, or related field (or equivalent experience).
  • 5+ years of experience in payroll tax, including multi-state tax environments.
  • In-depth knowledge of federal, state, and local payroll tax regulations.
  • Experience completing and reviewing Form 941, tax reconciliations, and amendments.
  • Strong interpersonal skills with the ability to explain complex tax concepts to clients and leadership.
  • Proven experience working with payroll systems and third-party payroll vendors.
  • Proficiency with Microsoft Excel and tax research tools.
  • FPC or CPP certification preferred.
